Rental Application – Important Information

At Rent Robin, we understand that moving to a new home can be both exciting and stressful. Our mission is to make the process as smooth and stress-free as possible. To help us move quickly and efficiently, please review the information below and complete all required steps.

Once your application has been processed, a member of our team will contact you with the results. If you have any questions or concerns at any point, please contact us.


Who Must Apply

  • Every applicant and occupant 18 years of age or older must submit a separate application.

  • Each application is reviewed individually and in accordance with local, state, and federal laws.


Required Documents for Verification

Each applicant must provide the following documentation:

  • A valid Driver’s License or State-issued ID

  • Proof of income, such as:

    • Most recent pay stub(s)

    • SSI, disability, or benefit award letter

    • Other verifiable income documentation


Application Process – What You Need to Know

We look forward to being of service to you. Below are answers to some of the most common questions new tenants ask.

Buyer Beware – Possible Reasons for Denial

Property owners may deny an application based on lawful, non-discriminatory criteria, which may include but are not limited to:

  1. foreclosure within the past 12 months

  2. bankruptcy discharged less than 12 months ago

  3. Continuing negative credit history

  4. prior eviction filing within the past 12 months, unpaid rent, or landlord judgments

  5. criminal conviction, evaluated on a case-by-case basis, considering:

    • Nature of the offense

    • Time elapsed since conviction

    • Relevance to housing safety or property protection

Note: Arrests without conviction are not considered. Criminal history is evaluated only where legally permissible and in compliance with Fair Housing guidance.

Each application is reviewed consistently and individually, and no single factor automatically results in denial unless required by the property owner or applicable law.


Rent Payment Policy

  • Rent is due on the 1st day of each month.

  • Rent is considered late after the 5th day, and late fees apply beginning on the 6th day of the month, as permitted by Missouri law and the lease agreement.

  • Rent payments are used to cover essential expenses including mortgages, maintenance, repairs, taxes, insurance, licensing fees, and in some cases utilities. Timely payment is critical.

Returned Payments

If a rent payment is returned by your financial institution for any reason:

  • Rent may be required to be paid using certified funds for a minimum of one (1) year

  • You may lose eligibility for any reliable tenant or preferred payment programs

  • Additional fees or rent adjustments may apply as allowed by the lease and applicable law

Other Agency Relationships

Missouri law does not prohibit written agency agreements that provide for duties exceeding those of a limited agent as described in this disclosure.

This brokerage authorizes and may engage in the following types of agency and brokerage relationships:

  • Seller’s Limited Agent

  • Landlord’s Limited Agent

  • Buyer’s Limited Agent

  • Tenant’s Limited Agent

  • Sub-Agent

  • Disclosed Dual Agent

  • Designated Agent

  • Transaction Broker

  • Other Agency Relationship as permitted by law


Purpose of This Disclosure

This disclosure is provided to enable you, as a prospective buyer, seller, tenant, or landlord, to make an informed decision before working with a real estate licensee.

Missouri law allows real estate licensees to:

  • Represent the interests of one party

  • Represent the interests of both parties (with proper disclosure and consent)

  • Act in a neutral, non-representative capacity as a transaction broker

The manner in which a licensee works depends on the type of brokerage service agreement in place. Because the sale or lease of real estate may involve multiple licensees, it is important that you understand:

  • Your representation options

  • The relationships among all parties involved in the transaction


Representation & Written Agreements

Missouri law requires that if you desire representation, you must enter into a written agency agreement with a real estate licensee. Such agreements:

  • May or may not require payment of a commission

  • May be exclusive or non-exclusive, depending on the terms

You are not required to enter into a written agreement with a transaction broker unless you intend to compensate that licensee.

If you choose not to be represented by an agent, the licensee assisting you may be representing the other party in the transaction.

This disclosure does not constitute an agreement to represent you. Representation, if any, is created only by a separate written agreement executed by the parties.

Missouri Real Estate Agency Choices

1. Seller’s / Landlord’s Limited Agent

Represents: Seller / Landlord only
Duties:

  • Perform written agreement terms

  • Exercise reasonable skill & care

  • Promote seller/landlord interests with loyalty & good faith
    Limitations:

  • Buyer/Tenant info may be shared with seller/landlord

2. Buyer’s / Tenant’s Limited Agent

Represents: Buyer / Tenant only
Duties:

  • Perform written agreement terms

  • Exercise reasonable skill & care

  • Promote buyer/tenant interests with loyalty & good faith
    Limitations:

  • Seller/Landlord info may be shared with buyer/tenant

3. Designated Agent

Represents: One specific party (buyer/tenant or seller/landlord)
Duties: Acts as your personal agent
Limitations:

  • Other agents in the brokerage do not represent you

  • Dual agency may occur if:

    1. Your agent also listed the property

    2. Supervising broker becomes involved

4. Sub-Agent (Agent of the Agent)

Represents: Works on behalf of another agent
Duties: Same as Seller’s/Landlord’s or Buyer’s/Tenant’s Limited Agent
Limitations: Must disclose they are acting as a sub-agent

5. Disclosed Dual Agent

Represents: Both parties (with written consent)
Duties:

  • Represent both sides fairly

  • May disclose material facts of the transaction
    Confidential Info Cannot Be Disclosed:

  • Price buyer/tenant will pay or seller/landlord will accept

  • Financing terms

  • Motivations for buying, selling, leasing

  • Prior offers or counteroffers

6. Transaction Broker

Represents: Neither party; neutral facilitator
Duties:

  • Protect confidences of both parties

  • Exercise reasonable skill & care

  • Present offers promptly

  • Keep parties informed

  • Account for money & property

  • Assist with contract compliance

  • Disclose known adverse material facts

  • Suggest expert advice
    Cannot Disclose:

  • Price buyer/tenant will pay or seller/landlord will accept

  • Motivations of parties

  • Financing terms
    No Duty To:

  • Inspect property for defects

  • Verify buyer financial condition

Applicant’s Agreement of Understanding & Authorization

Submission of an application does not guarantee approval or housing. If the landlord or property owner requests additional documentation or a qualified co-signer to address credit, income, or screening concerns, Rent Robin LLC may provide guidance regarding available options; however, approval remains solely at the discretion of the property owner.

Upon approval of this application, Rent Robin LLC will notify the applicant(s) and execute the rental agreement. The applicant(s) must sign the rental agreement within three (3) days of notification, unless otherwise agreed in writing.

Until the full security deposit has been received and cleared, the property shall remain listed as “FOR RENT” and may continue to be shown to other prospective applicants.


Acceptance & Deposit Requirements

If the application is accepted, Rent Robin LLC will issue a Tenant Acceptance Letter. Applicant(s) must sign, date, and return the Acceptance Letter as instructed.

The security deposit and 1st month’s rent must be received within twenty-four (24) hours of acceptance, either:

  • Electronically through the Rent Robin applicant portal

Until both the signed Acceptance Letter and the required deposit have been received, the property will remain actively marketed and available for consideration by the property owner.


Authorization & Certification

Applicant(s) authorizes Rent Robin LLC to verify all information provided in this application through any sources deemed necessary, including but not limited to employment, income, rental history, credit history, criminal background checks where legally permissible, and references.

Applicant(s) attest that all information submitted is true, accurate, and complete to the best of their knowledge. Rent Robin LLC reserves the right to deny an application if the applicant does not meet the property owner’s established rental criteria or if any information is found to be false, incomplete, or misleading.

Applicants authorize any person, business, credit reporting agency, or governmental entity to release information concerning the undersigned upon presentation of this application or a copy thereof at any time.

Applicant(s) acknowledge that their signature—whether physical or electronic—constitutes a legally binding signature under applicable state and federal law.

Applicant(s) further authorize Rent Robin LLC to:

  • Verify all information provided in this application

  • Charge the applicant’s credit or debit card for the disclosed application fee

  • Rely upon the applicant’s acknowledgment that they have read, understand, and accept the Application Disclosure Addendum provided with this application
